What You'll Do.
Conduct daily office walkthroughs
Ensure meeting rooms are meeting-ready
Monitor and replenish office supplies
Coordinate deliveries and mail
Report maintenance issues
Triage facilities requests
Coordinate vendor works
Schedule preventive maintenance
Act as first point of contact for visitors
Escort visitors as needed
Liaise with corporate security
Process building access requests
Process badge requests
Coordinate vendor access
Maintain visitor logs
Support routine health and safety checks
Track compliance activities
Maintain digital records of risk assessments
Maintain digital records of incidents
Be trained in emergency procedures
Support Emergency Response Team coordination

In this hands-on role, you'll ensure our Munich office runs smoothly day-to-day while supporting our broader EMEA network. You'll be the friendly face visitors see first, the problem-solver employees turn to, and the coordinator who keeps everything from meeting rooms to maintenance running seamlessly. This position offers variety and impact—from welcoming new hires on their first day to coordinating with vendors, managing facilities requests, and supporting events. Occasional travel to other EMEA locations (Dublin, Paris, Brussels, Zurich) adds international exposure to your portfolio. **Key Responsibilities:** **Daily Operations & Facilities** * Conduct daily office walkthroughs to ensure cleanliness and readiness across all areas * Ensure meeting rooms are meeting-ready each morning (tidy, stocked, AV checked, whiteboards cleaned) * Monitor and replenish office supplies, coordinate deliveries and mail, and report maintenance issues * Triage facilities requests through Jira, coordinate vendor works, schedule preventive maintenance, and host vendors on site **Visitor Management & Access Control** * Act as first point of contact for visitors, candidates, and vendors * Register visitors in Visitly, manage badges, welcome arrivals,
