What You'll Do.
Maintain job requisitions and recruitment workflows within Workday
Manage the EMBL-EBI Talent Acquisition shared inbox
Allocate and monitor Workday cases
including targeted advertisements and internal vacancy notices
Coordinate interview scheduling (both virtual and on-site)
Liaise with hiring teams to confirm logistics
Communicate with candidates throughout the hiring process
Support candidate travel arrangements
Assist with social media recruitment marketing and other employer branding initiatives
Perform general administrative tasks
Assist with recruitment analytics or research projects

Your role The Talent Acquisition Administrator plays a key role in delivering a seamless, high-quality candidate and hiring manager experience. You will provide essential day-to-day administrative and operational support, helping to streamline recruitment processes and ensure timely, efficient delivery of TA services. By embracing digital tools and AI-enabled practices, you’ll contribute to modernising the team’s operations — allowing our Partners to focus on strategic hiring and candidate engagement. This is an excellent opportunity for someone with a growth mindset, strong attention to detail, and a passion for people operations within an international, mission-driven organisation. **Main duties and responsibilities** * Maintain job requisitions and recruitment workflows within Workday (our Applicant Tracking System). * Manage the EMBL-EBI Talent Acquisition shared inbox, providing timely and professional responses to candidates and hiring managers. * Allocate and monitor Workday cases, ensuring service level agreements (SLAs) are consistently met. * Publish job postings, including targeted advertisements and internal vacancy notices. * Coordinate interview scheduling (both virtual and on-site) and liaise with hiring teams to confirm logistics. * Communicate with candidates throughout the hiring process to ensure an excellent candidate experience. * Support candidate travel arrangements, including booking flights and accommodation. * Assist with social media recruitment marketing and other employer branding initiatives. * Perform general administrative tasks such as document management, processing travel claims and invoices. * Prepare reports and assist with recruitment analytics or research projects to support continuous improvement initiatives.
