Up to 5% Domestic and International Travel involved, Must be a US Person under ITAR regulations, 95% Onsite, Vision: able to see and read computer screens, Hearing: able to participate in conversations, Speaking: able to speak in conversations and meetings, Equipment Operation: able to operate most office and personal electronic equipment, Carrying: able to carry documents, tools, drawings, electronic equipment up to 10lbs, Lifting: able to lift documents, tools, drawings, electronic equipment up to 10lbs, Pushing / Pulling: able to push and pull small office furniture, Sitting: able to sit for long periods of time, Squatting / Kneeling: able to squat or kneel to retrieve or replace items, Standing: able to stand for discussions, Travel: able to travel independently and at short notice

Must Have

High school diploma or equivalent, Minimum 6 years of administrative experience, Up to 5% Domestic and International Travel involved, Must be a US Person under ITAR regulations, Organizational abilities, highly self-motivated, professional, capable of managing their work load, prioritizing tasks in a fast-paced corporate environment, Problem solving skills, Planning talents, Time Management, Collaborative individual, positive attitude, enthusiasm, professionalism, work ethic, high level of integrity, Self-starter, flexibility and willingness to take on new tasks/projects, adapt to changes in current responsibilities, Ability to communicate effectively in verbal and written form in English, interact with all levels of staff and management, Possess interpersonal skills for fostering teamwork, creating positive connections with internal and external customers, Ability to maintain customer confidence and protects operations by upholding a strict level of confidentiality, Office or Google software programs proficiency

What You'll Do.

Manage internal department and inter-departmental coordination

Provide document management support

Provide administrative support for IT and facilities

Maintain improvement projects status reporting

Represent department in operational safety events

Schedule meetings with external customers

Maintain customer confidence and protect operations

Assume responsibility for timely project completion

Arrange domestic and international travel

Provide historical reference by developing filing

Coordinate activities for Engineering Demand Planning

Collect and manage WBSe allocated to engineering

Coordinate activities for engineering budget preparation

Collect data and maintain engineering KPIs

Assist in distribution of expenses vs budget

Manage Vendor Purchase Orders / Purchase Requisitions

Order and maintain office supply inventory

Coordinate executive communications

Conserve executive's time by reading

Coordinate various communication tools and activities

Manage calendar & meeting organization

Respond to routine email requests

Screen and direct incoming telephone calls

Compose correspondence

Greet and escort visitors

How You'll Work.

Manage inter-departmental coordination; Represent the department in routine operational safety events; Schedule meetings with other AHNA departments; Coordinate various communication tools and activities within the department and with other departments
