What You'll Do.
Assist leadership with executive administrative support
Prepare operating plans and special reports
Execute electronic signatory procedures
Maintain record of assigned workstations
Coordinate with internal I. T. team
Manage communications
Schedule and prepare materials for meetings
Assist with coordination of internal staff events
Support employee engagement committees
Oversee reception desk coverage
Ensure back-up for administrative team members
Participate in monthly meetings with area leadership
Support Principals with administrative tasks
Schedule and coordinate weekly Studio Meetings
Support Studio Design Series
Spearhead events to support Studio Culture
Manage Studio Purchase Card
Manage Incidental Requisitions
Exhibit professionalism with clients
Perform other duties as needed
and follow up on Construction Administration
Track Construction Administration processes
Track subconsultant RFI and Submittal responses
Administer timely return of correspondences
Apply company quality assurance guidelines
Manage project documents
Work with Architecture Project Managers
Work with project teams
Act as Quality Coordinator for North Carolina offices
Schedule ongoing project reviews
Manage documentation of project reviews
Assign reviewers for project reviews
Document quarterly quality review checks
Assist Project Manager with project development activities
Assist Project Manager with project initiation activities
Assist Project Manager with project planning activities
Assist Project Manager with project execution activities
Assist Project Manager with project closeout activities
Produce written materials
Proofread written materials
Format written materials
Organize written materials
Create electronic files
Maintain electronic files
Monitor insurance certificates
Facilitate subconsultant procurement process
Coordinate meetings and presentations
Produce project guides
Produce meeting minutes
Produce project invoices
Produce numerical data
Produce project specifications
