Must Have
Associate Degree in Business or related field, 3-5 years of administrative/sales support experience, computer skills in Microsoft Word, Excel, PowerPoint, Outlook, and CRM databases
Nice to Have
HVAC, Mechanical Contracting, Engineering or Construction industry experience
What You'll Do.
Perform data entry and maintenance of job information in CRM
Generate and distribute weekly reports to the Sales team
Prepare and verify sales orders for production
Track warranty claims and manufacturer transactions
Attend weekly Sales meetings
Maintain job files for the sales team
Plan and coordinate customer appreciation events
Coordinate factory visits
Coordinate customer care packages
Maintain calendar of key trade association events
Plan trips for Data Center and Industrial events
Create collateral materials and pitch decks
Provide internal customer service support
Perform job reconciliations
Handle accounting and invoicing
Coordinate service and warranty support
Coordinate tech trips for startups
Provide commissioning support for pump houses
Perform cross-territory coordination
Perform other duties as assigned

The Opportunity The ideal candidate must be detail and customer service-oriented and have excellent organizational skills. Position requires a high level of correspondence with sales team, customers and vendors. Must be strong in Microsoft applications and be able to work well with others in a fast-paced & high-volume environment. Responsibilities • Responsible for data entry and maintenance of job information in CRM database including generating and distributing the weekly reports to the Sales team • Order management: prepare and verify sales orders for production • Track warranty claims and HVAC manufacturer’s transactions • Weekly attendance of Sales meeting • Maintains job files for the sales team • Planning and coordinating customer appreciation events and factory visits • Coordinate customer care packages, keeping novelty through a unique/customized approach • Maintaining a calendar on key trade association events and trip planning – particularly Data Center and Industrial events • Creating collateral materials/pitch decks relevant to specific customer engagements • Providing internal customer service support, both locally and across multiple offices o Job reconciliations o Accounting and invoicing o Service and Warranty (coordinating tech trips for startups, and commissioning support for pump houses, skids etc.) o Cross-territory coordination • Ability to multi-task, prioritize and strong organizational skills are essential • Experienced in customer service, enjoy working both independently and in a fast-
