What They're Looking For.
Must Have
Previous administrative experience, ideally in property, estates, or facilities management, organisational skills with the ability to manage multiple priorities, Proficient in Microsoft Office and confident using digital systems, written and verbal communication skills, Detail-oriented, proactive, and able to work independently and as part of a team
Nice to Have
Interest in rural property or estate management desirable
What You'll Do.
Maintain accurate property records
and compliance data using property management software
Prepare reports on property information
and compliance requirements
Take ownership of property systems
ensuring data integrity and supporting/training users
Support process improvements through standard templates and agreed automation
Manage tenancy administration
including onboarding new properties
and ensuring all documentation is accurate and completed on time
Prepare and issue tenancy documentation (hard copy and DocuSign)
and complete CDD checks in collaboration with relevant teams
Support end-of-tenancy processes
including check-outs and deposit releases
Coordinate compliance administration (e. g. Gas Safety
ensuring all records and deadlines are up to date
Maintain diaries and records for inspections
and key tenancy milestones
including tracking follow-up actions
Coordinate maintenance and contractor activity
including routine and reactive works
refurbishment projects
and contractor onboarding/renewals
Liaise with contractors
and maintain accurate contractor records
Manage financial administration
including rent demands
rent collection support
Handle tenant enquiries
resolving or escalating issues as appropriate
