What They're Looking For.
Must Have
Proven experience building process from zero to one, AI-first operator, communication and stakeholder you influence without authority, Change management experience, Solid understanding of the software development lifecycle and how product organizations operate, Comfortable in ambiguity and fast-changing environments
Nice to Have
Background in a SaaS company (B2B or B2C), Hands-on experience with workflow automation tools (e. g. , n8n, Zapier, Make) or building lightweight AI agents, Familiarity with Jira, Notion, Linear or similar tools, Experience with prompt engineering or structuring AI-assisted processes at team or org level
What You'll Do.
Own and drive the Product Delivery Lifecycle — from ideation to launch — building the process and then making it smarter over time
Design and automate operational workflows using AI tooling

Support business and metrics review cadences
leveraging AI to surface insights and keep data current
Fix broken operational workflows by working directly with engineering managers
product managers and Technical Program Managers — then look for where AI can make those workflows self-sustaining
Maintain and evolve our operational playbooks
ensuring nothing we build becomes outdated
Introduce and enable minimum viable process — not process for its own sake
but the right guardrails that create flow and predictability
Drive change management and enablement when rolling out new tools
or ways of working across product and engineering
Support cost capitalization processes within the organization
Evaluate and configure tooling (Jira
and others under assessment) with an eye toward what can be automated or augmented

About the Role Product Delivery Operations at Aiven is building operational excellence across a fast-growing, cross-functional organization. As a Product Operations Specialist, you'll be the connective tissue between domain leaders, engineering, and product management teams — removing friction, designing process from zero to one, and making our teams faster and more predictable. What makes this role different today: we're not looking for someone who uses AI occasionally. We're looking for someone who defaults to AI — someone who sees automation, agents, and AI-assisted workflows as the natural starting point when solving operational problems. At the same time, the foundation of this role is operational discipline. AI without solid process thinking creates faster chaos. You'll need both.
