Highschool diploma required, advanced Excel knowledge (charts, pivot tables and vlookup), organizational and project management skills with exceptional attention to detail and follow through, Excellent analytical and problem-solving skills, communication and interpersonal skills, Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines, Self-motivated, proactive, and able to work independently as well as part of a team, Proven experience working on diverse administrative assignments with competing priorities, The verbal communication skills to communicate with a diverse client group, The written communication skills to produce succinct correspondence and reports, computer skills with the ability to learn new technology quickly and easily
Nice to Have
college degree preferred, Experience designing visually appealing Power Point presentations that have a consistent theme, slide transitions and follow company branding standards
What You'll Do.
Assist in coordination and execution of administrative tasks
Answer and manage main line
Respond to client inquiries
and compose correspondence
and enhance Standard Operating Procedures (SOPs)
Maintain and update SOP spreadsheet
Collaborate with team members to implement process enhancements
Streamline operations
Assist in coordinating internal lunch and learns
Assist in coordinating external client-facing webinars
Follow up with action items and communications
QC’ing and sending follow up emails
Serve as backup as needed
Manage renewal process for Virtual HR clients
Provide staff access to Harvest projects
Update project hours and invoice payments
Review open projects in Harvest
Notify leadership of projects exceeding hours
Ensure client information and billing is accurate
Create service agreements
Post billing for new projects
Ensure data-integrity across platforms
Process and generate accurate and timely invoices
Follow collection standards
Work with Operations Manager to review and notify clients
Keep detailed notes on communication
Escalate past due amounts
Reconcile and process vendor invoices
Research and resolve discrepancies
Prepare monthly and quarterly reports
Respond to client billing and invoicing inquiries
Involve Operations Manager and leadership when needed
Ensure compliance with company policies
Ensure compliance with client-specific requirements
