Must be a US citizen or have the right to work in the USA without sponsorship., Availability during regular business hours (1:00pm–9:00pm PST) for a 40-hour week on a rota basis which will include some weekends., Flexibility in shift patterns, including day, night, weekend, and holiday hours.
What They're Looking For.
Must Have
At least 1-3 years of experience in a customer-facing role, preferably with high-net-worth individuals., Fluent in English, with excellent verbal and written communication skills, ensuring clarity and professionalism in all client, internal, and vendor interactions., Organizational skills and meticulous attention to detail, ensuring every trip and client interaction is flawless., A collaborative mindset with a willingness to work across various departments, including operations, sales, and accounting, to ensure seamless service delivery., Experience managing high-pressure situations and resolving issues with minimal disruption to the client's experience., An understanding of aviation safety importance.
Nice to Have
Experience in vetting vendors to ensure compliance with corporate standards., Experience in relationship building and vendor negotiations., Willingness and ability to negotiate contract terms and pricing with vendors while maintaining high professional standards., Previous experience in the business aviation industry is highly desirable, particularly in private jet charter or flight operations.
What You'll Do.
Manage all aspects of flight booking and scheduling
ensuring the highest level of service and efficiency.
Organize ground transportation
and other services tailored to each client's preferences.
Track flights in real-time
addressing any potential challenges such as delays
Ensure smooth and efficient resolution to maintain an optimal client experience.
Partner with the accounting team to manage invoicing
and financial reconciliation.
Ensure all transactions are properly completed
Complete logistic checks for new potential flights
request quotes from preferred operator partners
negotiate contract terms and pricing to ensure the best value for Victor and our clients.
Ensure all aircraft meet Victor's stringent safety regulations and service standards.
Maintain and regularly update the company's operator directory
ensuring all information is current
and accessible to the team.
Regularly capitalize on networking opportunities in day to day work and proactively procure new operator data.
