Must Have
Previous experience in an onboarding, recruitment coordination, or HR admin role, organisational skills, task-oriented working style, Excellent follow-up and communication skills, Comfortable working in a high-volume environment with multiple candidates at various stages simultaneously, Self-driven and able to identify what needs to be done without waiting to be told, A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory, A reliable backup solution is required to manage load shedding and outages (UPS, inverter, solar, etc.)
Nice to Have
Experience working with ClickUp, Microsoft Teams, or similar platforms is an advantage, Familiarity with the ABA therapy space or a background in healthcare, disability, or mental health services is a plus
What You'll Do.
Conducting onboarding meetings via Zoom or Teams with newly hired therapists
Guiding candidates through each stage of the onboarding process and identifying what still needs to be completed
Following up consistently to ensure candidates are progressing through their onboarding steps on time
Managing candidate statuses on a shared board and ensuring no one is stuck at a stage for too long
Completing and tracking tasks accurately within the company's systems
Flagging candidates who are not engaging or progressing and following the relevant protocols
Coordinating with the staffing team once candidates reach the placement stage of onboarding
Handling approximately 30 onboarding candidates per month per state
with team support during high-volume periods

We are not a recruitment agency — we operate as a dedicated extension of our U.S.-based clients' teams, delivering high-quality operational support with precision, efficiency, and professionalism. We are recruiting on behalf of a fast-growing US-based ABA (Applied Behavior Analysis) therapy company, who required a Onboarding Coordinator to support a structured onboarding team that processes new therapist hires across multiple US states. As an Onboarding Coordinator, you'll be the first point of contact for newly hired ABA therapists from the moment they accept their offer. Your job is to guide them through each step of the onboarding process, keep them moving, and make sure nothing falls through the cracks. It's a high-volume, detail-driven role that requires someone who is organised, proactive, and genuinely good with people. **PLEASE NOTE:** * **Working Hours:** Monday – Friday | 9:00 AM – 6:00 PM EST (3:00 PM – 12:00 AM South African time, subject to daylight savings) * **Public Holidays:** This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA) * **Internet Requirements:** A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory.
