Must Have
2+ years of office management, operations coordination, or executive assistant experience, Highly organized with attention to detail, Warm, proactive communicator, Comfortable working independently with minimal you figure things out, Experience managing vendors, facilities, or event logistics, Familiarity with tools like Google Workspace, Slack, and basic expense tracking, Interest in or exposure to startups, Based in Palo Alto or able to be in-office per schedule
Nice to Have
Experience supporting multiple international offices or remote teams, Bilingual in English/Spanish or English/Portuguese, Background in fintech, regulated industries, or high-growth startups, Experience with PEO platforms (Rippling, Gusto, etc.) or HR / IT coordination tasks

Own day-to-day office operations
Create a great visitor and candidate experience
Coordinate new hire setup
Plan and execute in-office and virtual team events
Support Brazil and Mexico office operations remotely
Manage office budget line items
Handle ad-hoc administrative tasks for leadership
and functional office environment
