Must Have

1 – 2 years of experience in office administration or coordination, Positive, professional, and adaptable attitude with problem-solving skills, Excellent communication and interpersonal skills, organizational and multitasking abilities, Proactive and able to handle a variety of situations independently, Proficiency in MS Office Suite, Well-presented and able to engage with colleagues at all levels, Customer-focused with a passion for creating a positive office experience, Fluency in Spanish and English

What You'll Do.

Serve as main on-site contact for office matters

Ensure smooth daily operations and welcoming environment

Ensure office is tidy and prepared for visits

Oversee general maintenance and order

Resolve day-to-day issues

Manage contracts and relationships with external services

Monitor and restock office materials

Handle regular breakfast and fruit deliveries

Ensure shared spaces meet cleanliness standards

Act as contact for alarm or security matters

Manage key distribution

Manage reception and dispatch of office mail

Plan and organize office events

Assist with onboarding/offboarding tasks

Support booking taxis or accommodation

Maintain administrative and regulatory documentation

Prepare general office communications

Identify and implement workspace enhancements

Support HR and Finance for administrative tasks

Process employees’ expenses

Team & Collaboration

Coordinate with third-party vendors or service providers; Engage with colleagues at all levels; Support the HR and Finance Department
