Must Have
Previous experience in a remote receptionist, administration or customer service role, ideally in a medical or healthcare setting., Excellent verbal and written communication skills with a professional and friendly tone., time management and multitasking abilities with a calm, solutions-focused approach., Proficient in patient management software and Microsoft Office (Outlook, Word, Excel); capable with communication and telephony platforms (e. g. , 3CX, VoIP systems)., Understanding of patient privacy and confidentiality protocols., Ability to work both independently and as part of a supportive remote team., Familiarity with telephony tools such as 3CX or similar cloud-based call handling platforms.
Nice to Have
Bachelor’s degree in Administration or a health-related field preferred., Experience with Medi Records patient management system and familiarity with Australian healthcare terminology are highly advantageous

Answer and manage a high volume of incoming phone calls
ensuring patients are supported with timely and accurate responses.
Respond to inbound email inquiries
including appointment requests
and patient follow-ups.
and confirm patient bookings across multiple practitioners and time zones where applicable.
Monitor inboxes and communication channels to ensure timely responses and prioritisation of urgent queries.
Confirm patient registration details
ensuring all required fields are complete and accurate.
Update and maintain patient information in the patient management system.
Coordinate follow-up appointments
and administrative workflows that support clinical staff.
Ensure documentation and correspondence are accurate and privacy-compliant.
Perform other administrative or support duties relevant to the virtual reception function as required.
