What You'll Do.

Manage two Event and Media Production Coordinators

Collect preproduction information from clients

Communicate production details to E&MP team

Oversee unit's scheduling and project management environment

Oversee interface with EMS RoomBook

Oversee ServiceNow integration

Collect and report service data metrics

Handle invoicing and receivables for the unit

Work closely with Director of Events and Media

Staff and plan complex events

Ensure requests are promptly addressed

Create processes and workflows

Create systems to support unit goals

Create systems for performance management

Assign events and studio production requests

Oversee scheduling of production projects

Establish realistic client expectations

Book technical staff on sessions and events

Design workflow and systems for coordination

Create FileMaker Job Slips

Define scope of work for technicians

Oversee scheduling of live-streams

Oversee scheduling of live-captioning

Coordinate media lifecycle

Collaborate with clients on compliance

Ensure compliance with Harvard's digital accessibility policies

Ensure compliance with Harvard's data security policies

Ensure team has necessary access to client platform

Ensure team has pertinent information

Oversee delivery of media products to clients

Communicate revisions and corrections to managers

Collaborate with Financial Administrator for event financials

Collaborate with Financial Administrator for reporting

Manage invoicing for billable services

Manage estimates for billable services

Ensure bills are processed

Ensure bills are paid via checks

Ensure bills are paid via billing codes

Administer department's scheduling system

Administer department's staffing system
