Must Have
Diploma or above with relevant experience, Certificate in Secretarial, Business Studies, or equivalent, Computer literacy is a definite pre-requisite, Good command of English and Chinese
What You'll Do.
Manage the telephone console
receive and divert incoming calls
guide visitors including co-ordination with employees
Responsible for maintaining telephone registers
Responsible for maintenance and upkeep of the front office/ reception area
Administer meeting and conference room bookings
Distribute of internal and external mails throughout the office
Coordinate with courier companies to handle outbound mails and parcels
Monitoring and ensure pantries and mailroom are clean and tidy
Maintain records for office supplies and services order expenses
Assist in invoice processing
Co-ordinate the printing of business cards
Responsible for ensuring availability of magazines/ brochures and directory signage
Provide a Helpdesk service
maintain Helpdesk Tracker
Escalate calls to the Facilities Manager depending on urgency
Provide assistance in general administrative activities
Co-ordinate and assist with local office events
Contribute information of inclusion in the Monthly Report
Utilize the systems of to effectively manage contractors
Report on contractor performance
Ensure compliance of regulations / requirements of management
