What You'll Achieve.
scheduling patient appointments and tests in an efficient and timely manner; answering incoming calls in a prompt, courteous, and professional manner; Monitors order queue as assigned to meet metrics designated by practice; achieve optimal scheduling within the infusion room; ensure we are within maximum infusion guidelines
Industry & Context.
Ability to adjust Templates for site specific needs as requested; Responsible for directing other staff when changes are needed; Responsible for follow up on pre-operative tests to ensure patients are cleared for surgical procedure; Responsible for working with nursing supervisor to identify and correct unbalanced schedules and ensure we are within maximum infusion guidelines
Requires prolonged sitting, some bending, stooping and stretching, Requires occasional lifting of up to 30 pounds, Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment, Requires hearing and vision corrected to normal range, Required to float as needed in addition to cross covering sites remotely
What They're Looking For.
Must Have
Three years’ medical office experience required, Proficiency with computer systems including Microsoft (Outlook, Word, and Excel) required
Nice to Have
associate’s degree preferred
What You'll Do.
scheduling patient appointments and tests
answering incoming calls
assisting patients with check-in
serving as a liaison between patients and medical staff
obtaining and entering insurance information
requesting initial records
mailing out new patient packets
obtaining and entering authorization and correspondence relating to referrals
communicating appointment details and prep work to patients
adhering to scheduling templates
monitoring schedules for compliance with templates
adjusting templates for site specific needs
directing other staff when changes are needed
preparing correspondence
obtaining necessary precertification
following up on pre-operative tests
scheduling post-operative follow-up appointments
processing EMR orders
completing chart messaging
working the bump list and no-show report
monitoring order queue
canceling/rescheduling appointments
performing other lead duties
shifting employees to cover areas in need
serving as point of contact when leadership is unavailable
working with Front Office Supervisor and Nursing Supervisor to achieve optimal scheduling
identifying and correcting unbalanced schedules

May include outside scheduling and/or surgical scheduling responsibilities. * Point of contact for the front office when leadership is unavailable or out of the office. * Greets patients and their guests into the clinic in a prompt, courteous, and professional manner.
