Must Have
degree in business or hotel and building management, three to five years’ experience in facilities management, good working knowledge in occupational safety, aptitude in client-centric operations, adept leader with a proven track record in managing a team, capable of effectively rolling out improvement plans, superior communications and reporting skills

Oversee facilities day-to-day operations
Ensure administrative functions

Manage FM related requirements for the location
Provide administrative support to the Facilities Management team
Ensure timely and accurate completion of FM reports
Be accessible for escalation of all FM related issues
Oversee Helpdesk Service request of Customers
Ensure planning and execution of all preparation for Conferences / meetings
Oversee the Mailroom process
Ensure visitors are promptly attended
Oversee Housekeeping Services
Communicate priorities of the day to housekeeping staff
Inspect the turn out and attendance of the staff
Meet the housekeeping in charge during the shift
Oversee the upkeep of indoor plants
Oversee pantry equipment and reprographic equipment operations
Communicate to the FM through on all incidents
Take rounds of the facility regularly to identify issues
Prepare weekly shift rosters for HK Services
Ensure rosters are briefed well to the team
Co-ordinate all the FM supplies required for the location
Adhere to the reporting procedures
Follow the Standard process for managing all FM requirements
Ensure vendor compliance audit done at the location
Help mitigate risks by taking part in emergency evacuation procedures
Handling crisis management and business continuity plans
Monitor the Facilities budget
Make sure there’s enough Supplies to support operations
See to it that vendor invoice processes comply with standards
Take on difficult issues and seek out opportunities to improve operations
Achieve key performance metrics and meet service level agreements
Carry out routine service audits
Oversee creating stock reports
Oversee meeting minutes
Oversee monthly management reports to the clients
How You'll Work.
Team & Collaboration
Working with both the facilities manager and the assistant facilities manager; Provide management advice to Helpdesk operators; Provide management advice to mail room executives; Communicate to the FM through on all incidents and all-important operational issues; Communicate priorities of the day to housekeeping staff; Meet the housekeeping in charge during the shift to discuss and communicate priorities; Ensure rosters are briefed well to the team to make them understand the deliverables; Constantly in tune with the team to achieve key performance metrics
