Must Have

Minimum of 3 years experience in Facilities Management, Property Management or customer service field, Excellent organizational and multitasking abilities, customer service orientation and communication skills, Attention to detail and problem-solving abilities, Proficient in MS Office (Word, Excel, PowerPoint, Outlook), Excellent verbal and written communication skills in both English and Japanese, Knowledge of work order management systems or CMMS, Ability to remain calm under pressure and manage multiple priorities effectively, Proactive approach and positive attitude, Team player with ability to work independently, Flexible and adaptable to changing priorities

Nice to Have

Degree in Facilities Management, Property Management or related field, Experience in commercial facilities or corporate environment, Experience in project coordination, Knowledge of vendor management, Experience with budget tracking and financial reporting, Facilities Management related certifications (FMA, IFMA, etc. )

What You'll Do.

Assist the Facilities Manager in daily operations to support smooth facility operations

Serve as point of contact for vendors and contractors

Coordinate vendor work schedules and ensure service delivery meets contract standards

Maintain vendor-related documentation and records

Accurately maintain all documentation

records and reports related to facility operations

Assist in preparation of monthly and quarterly reports

Track facility budgets and expenses and identify variances

Perform administrative tasks including data entry

Respond to facility-related inquiries promptly and professionally

Facilitate effective communication among internal teams

Collect and document client feedback for service improvement
