What They're Looking For.

Must Have

CFC in Business Administration (or equivalent), Federal Certificate, or Bachelor's degree, solid experience (3–5 years minimum) in an administrative or executive assistant role, ability to manage multiple priorities independently, Excellent organizational and interpersonal skills, comfortable engaging with both senior leadership and all levels of staff, natural ability to build trust, sense of confidentiality, professionalism, and discretion when handling sensitive or strategic information, Fluent English required (written and spoken), ability to communicate effectively in a multicultural environment, produce high-quality internal communications

What You'll Do.

Provide high-level administrative and operational support to the Site Leader and Leadership Team

Plan and coordinate Leadership Team meetings

and strategic sessions

Oversee daily site operations: meeting rooms

Coordinate visitor and candidate experience

Ensure compliance with company policies across expenses

and vendor management

Drive continuous improvement by developing templates

and standardized practices that enhance site efficiency

Handle confidential and strategic information with the utmost discretion and professionalism

Support workplace health & safety as a certified on-site first aider

Draft and distribute internal communications

and leadership presentations

Facilitate communication between departments

Coordinate employee recognition and milestone gestures

Act as a trusted relay between employees and the Leadership Team

Manage general inquiries

and emails and support employees with administrative and operational needs

Create and manage Purchase Orders (POs); coordinate invoice follow-up

Guide employees to organize internal events or initiatives

Organize and coordinate internal events

team-building activities

Manage all event logistics

Coordinate site visits for guests

Support ERG (Employee Resource Group) initiatives and events

How You'll Work.
