Full Job Description
This is a hybrid role that combines high-trust executive support with day-to-day ownership of the corporate office. You will be the right hand to senior leadership and the person who makes sure the office runs. The work spans board and leadership meeting logistics, executive communications and materials, vendor and facilities oversight, and a steady stream of one-off projects that keep the company moving. The job rewards organization, discretion, and a bias toward getting things done without being asked twice. Department: Executive Office Reports to: Chief of Staff FLSA Status: Exempt Location: Kent, WA (on-site 4-5 days/week) WHAT YOU’LL DO Executive support Prepare materials for board meetings, leadership offsites, and external engagements — including agendas, pre-reads, decks, and follow-ups. Draft, edit, and proofread correspondence, memos, and presentations on behalf of executives. Track action items from leadership meetings and follow up to closure. Coordinate meeting logistics for executive and leadership sessions (room setup, AV, catering, materials distribution). Handle confidential information with absolute discretion. Office management Run the day-to-day operations of the corporate office, including reception, mail, supplies, and facilities. Manage vendor relationships (cleaning, IT support, building management, catering, couriers) and own related contracts and renewals. Coordinate office events: team meetings, all-hands, holiday gatherings, visitor hosting, and onsite executive offsites. Partner with IT and HR on new-hire onboarding logistics — desk setup, badges, equipment, welcome materials. Serve as the point of contact for building management on maintenance, security, and access. Cross-functional support Project-manage one-off initiatives assigned by the executive team (e.g., research, vendor evaluations, internal communications rollouts).
