What You'll Do.
Provide proactive, high level executive support to the President, anticipating requirements and consistently operating “three steps ahead”., Manage meeting scheduling and prioritisation, working across global time zones, applying understanding of business context to balance meetings with focus time., Maintain awareness of key leadership meetings/engagements (e.
g ULE, Board), collaborating with Strategy Director and other EAs to ensure effective preparation for key meetings., Use judgement to triage and manage incoming requests, redirecting and responding on behalf of the President where appropriate/required., Build working relationships across the 1UL network and key internal stakeholders., Coordinate extensive travel, liaising with local teams on agenda planning., Manage visa and travel health requirements., Engaging Security when travelling to high-risk markets., Prepare travel packs as needed and ensure pre-read is shared on time, in accessible formats., Provide end-to-end coordination of key leadership team events (including bi-annual face-to-face meetings), covering agenda planning, speaker coordination, briefings, venue, accommodation and event logistics, and seamless on-site delivery at events, with clear pre- and post-event communications., Organise monthly market performance calls and quarterly Leadership team results calls., Ownership of 1UL shared drives, files and critical trackers, ensuring information remains accurate, up to date, accessible to the right audiences and ready for key business moments., Support the design and delivery of learning and change programmes (e.
external-led masterclasses), including shaping content and agendas, facilitating sessions, and managing materials and outputs such as recordings, transcripts and presentations., Support HR leadership and talent activities where needed, including minuting Talent Review discussions and producing summaries., Manage communications for the 1UL leadership team as needed, including distributing key messages and cascading information to the 1ULT and global 1UL community, facilitating live virtual town halls, and managing leadership announcements in partnership with HR, including posting on Viva Engage., Provide ad hoc coordination and operational support to the wider team, including organising leadership learning visits and similar activities., Responsible for core operational administration including raising purchase orders, processing expenses, managing the tax calendar process.
