Serving as the primary administrative link between the Counseling Center and the broader campus support network

Ensuring seamless student access to services and efficient team operations

Serving as the primary point of contact for the Counseling Center

Answering and appropriately routing incoming phone calls

Managing the general office email inbox

Greeting students/visitors

Providing general information about services

Managing office supplies

Submitting and tracking purchase requisitions

Maintaining records related to the Counseling Center operating budget

Maintaining and organizing confidential client records (both electronic and physical)

Managing documentation for staff training

and professional development

Scheduling appointments for the Counseling Center staff

Coordinating team meetings (including scheduling rooms and organizing materials)

Assisting with staff travel arrangements

Assisting the director with collecting

and summarizing statistical data

Serving as the initial point of contact for students calling or walking in with urgent concerns

**Position Summary:** The Care Coordinator is responsible for performing essential administrative duties for the Counseling Center and providing crucial triage, case management, and administrative support for the Campus Assessment, Response and Evaluation (CARE) team. This position serves as the primary administrative link between the Counseling Center and the broader campus support network, ensuring seamless student access to services and efficient team operations. # # **Specific Job Duties (Essential Functions of Responsibilities)** ## **Administrative and Operational Support** * Serve as the primary point of contact for the Counseling Center. Answer and appropriately route incoming phone calls, manage the general office email inbox, greet students/visitors, and provide general information about services. * Manage office supplies, order materials, submit and track purchase requisitions, process invoices, and maintain records related to the Counseling Center operating budget in compliance with institutional policies. * Maintain and organize confidential client records (both electronic and physical), ensuring compliance with HIPAA, FERPA, and institutional privacy standards. Manage documentation for staff training, licensure, and professional development. * Schedule appointments for the Counseling Center staff, coordinate team meetings (including scheduling rooms and organizing materials), and assist with staff travel arrangements. * Assist the director with collecting, compiling, and summarizing statistical data related to center usage, appointment no-shows, and services for semester and end of year reports. ## ## **Triage & CARE/BIT Case Management Support** * Serve as the initial point of contact for students calling or walking in with urgent concerns.
