What They're Looking For.
Must Have
Completion of Grade XII (12) or recognized equivalent, Minimum two (2) years related office administration support experience, Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Access, MS Teams), organizational skills with the ability to maintain confidentiality, Exceptional verbal and written communication abilities, High attention to detail and the ability to work independently, Excellent time management and multitasking capabilities, Ability to manage multiple priorities in a fast-paced environment
Nice to Have
Office Administration Certificate or equivalent, Minimum two (2) years experience coordinating staff schedules and supporting payroll processes, Experience in a healthcare environment, Experience working in a unionized environment, an asset
What You'll Do.
and update staffing schedules
Ensure schedules align with operational requirements
Process vacation requests
and rotation schedules
Coordinate training schedules
Arrange coverage for absences and staffing gaps
Collect and validate staff timekeeping data
Enter payroll data for staff
Prepare payroll adjustments and supporting documentation
Investigate and resolve payroll discrepancies
Maintain staff contact lists and departmental records
Track employee certifications and training compliance
Order and manage office supplies and administrative inventory
Provide general administrative support
Support special projects and operational initiatives

Team & Collaboration
Interacts closely with laboratory supervisors and employees personnel; Coordinate training schedules in collaboration with supervisors and managers; Investigate and resolve payroll discrepancies in collaboration with staff, leadership, and Payroll
