Full Job Description
Exact compensation may vary based on skills, experience, and location. We only consider candidates living locally or within the State of CA. We do not pay any relocation expenses. JOB SUMMARY This position is under the general supervision of the Building Administrative Supervisor. Assuring a steady completion of workload in a timely manner is key to success in this position along with being resourceful, efficient, organized and comfortable being a member of a team. RESPONSIBILITIES Quality control of all transmittals to prepare for logout process. Assist Plan Checkers with stamping & collating hard copy plans. Digitally stamp and collate digital reviews. Compare hard copy plans with digital reviews for final approval. Update City portals with transmittals and approved plans as required. Provide as needed support and coverage with scanning plans and documents, when staff are unavailable. Manage Building staff calendar. Receptionist duties, including but not limited to: phone coverage, mail, ordering supplies, scheduling conference room meetings, updating phone and HR lists with departing and new employees, ordering lunch for meetings. Order flowers for employees when requested by HR Department. Maintain inventory of all office and kitchen supplies and replenish when needed. Maintain appearance of kitchen and supply room. Deliver plans to clients when staff are unavailable. Perform other related duties as required. QUALIFICATIONS 1+ years of experience as an administrative assistant is preferred. Excellent verbal and written skills. Experience with Word, Excel, Outlook. Ability to multitask in a fast-paced environment. Good attendance is a must. WORKING CONDITIONS General office environment. Work productively independently or in a team environment. Occasional overtime work is required throughout the year. Require walking, bending, and sitting.
