Full Job Description
ICAP Employment Solutions, on behalf of a client, based in Athens, is currently looking for an **Administrative Assistant.** The ideal candidate will serve as the first point of contact for visitors and callers, while providing administrative and clerical support to various departments. **Key responsibilities include:** * Manage front desk operations, including greeting visitors, handling incoming calls, and directing inquiries appropriately. * Maintain a professional, welcoming reception area and meeting room environment. * Coordinate meeting room bookings, prepare meeting spaces, and support catering/refreshment arrangements when required. * Handle incoming and outgoing mail, courier services, deliveries, and document distribution. * Assist with administrative tasks such as filing, scanning, data entry, document preparation, and internal communications. * Support travel arrangements, accommodation bookings, and expense reporting where applicable. * Maintain office supplies inventory, place orders, and liaise with vendors and service providers. * Provide general administrative support to management and internal teams upon request. * Assist with onboarding activities (e.g., access cards, desk preparation, welcome materials). * Ensure compliance with internal policies, health & safety standards, and company guidelines. **Requirements** **Qualifications & Skills:** * Bachelor’s degree preferred, but not mandatory if supported by relevant experience in a corporate reception or administrative assistant role. * Excellent verbal and written communication skills, both in Greek and English. * Strong organizational skills with attention to detail and ability to multitask. * Professional demeanor and customer-service orientation. * Proficiency in MS Office (Outlook, Word, Excel, PowerPoint). * Ability to work independently and as part of a team. * High level of confidentiality, reliability, and discretion. **Personal Competencies:** * Positive, proactive attitude * Strong int
