What They're Looking For.
Must Have
2+ years experience in an Administration role, Certificate IV, Level Qualification or higher in a related field, Knowledge of computer software and applications, Work with minimal supervision, experience working as part of a dedicated team with a problem-solving approach, Writing and developing polices & procedures, communication and interpersonal abilities, Experienced administrative abilities, Able to fluently read, write and speak English
Nice to Have
Functional level SAP experience, Records management experience, Capability to develop innovative solutions

Serve as the focal point in the maintenance and administration of internet facing webpages
Undertake and understand all tasks undertaken by the Administration Support Officers
Support the Administration Support Officers in their daily operational duties
Provide support to various committees
Provide support to working groups
Provide support to project control groups
Execute tasks and objectives independently with minimal supervision
Undertake various administrative tasks
Maintains record management systems
Verify records are true and current
Review and interpret documents
Decide on the most logical and accessible place to file and classify each record
Work across multiple SAP transactions
Support metrics and business requirements for the program
Proactively identify opportunities for efficiency
Collaborate seamlessly with team members to streamline process and procedures

Full Job Description
Working as a key member of the Vesta program and reporting directly to their supervisor, this role is critical in supporting business operations through a broad range of administrative and executive functions. The position will primarily focus on the administrative responsibilities of the Vesta program, including project delivery support, report compilation and analysis, database management, and the development, implementation, and execution of various tasks that directly contribute to the program’s success. Additionally, the role will be responsible for document retention and review processes to ensure compliance with internal and external requirements, as well as maintaining and updating various website and online platforms. This role will also perform high-level executive assistant duties that include preparing correspondence and reports along with providing day-to-day support to leadership in support of the Vesta program. **Work Schedule:** Monday - Friday 7:30 - 4:00 **Responsibilities (however not limited to):** * Prepare and create accurate and consistent reports, documents and meeting materials as directed by the Property & Leasing and Administration Supervisor or Program Management. * Responsible for developing, maintaining, and overseeing corporate policies, procedures, and work instructions to ensure they are accurate, up to date, properly reviewed, and consistently managed within our system of record * Serve as the focal point in the maintenance and administration of internal/external databases and internet facing webpages. * Be able to undertake and understand all tasks undertaken by the Administration Support Officers * Support the Administration Support Officers in their daily operational duties, as well as providing support to various committees, working groups and project control groups as required * Working under the guidance of the Property & Leasing and Administration Supervisor, execute tasks and objectives independently with minimal supervision
